Service Vending Machine

The eoMobile vending functionality allows delivery drivers to maintain vending machine inventory levels at customer locations.

Permissions

Employee Roles

To access the vending screens, the user must be flagged as the following roles at Records > Employees > Records > Main Panel:

  • Driver
  • Vend Driver

Plugins Panel

Under Records > Employee > Records > Plugins Panel:

  • Vending > Change vend prices on handheld - Check this box to allow the user to change the price of vending machine products from a mobile device.
  • Vending > Recap vend collections on HH - Check this box to allow the user access to a recap screen on mobile devices that lists vending collections from the current session.
  • May enter service tickets on eoMobile delivery - Check this box to allow the user to enter service (repair) requests for vending machines from eoMobile delivery.

How To Enter a Vend Ticket

  1. On the main screen tap Run Route.

  2. Customers scheduled to be visited today will be listed by default.
  3. To view customers scheduled for a different day, click ## Stops for {Date}.

    i. Select from the displayed dates to view the stops for that day.
    ii. Tap Last Week to select a date from the prior 7 days.
    iii. Tap Show all of my customers to view all customers, regardless of their scheduled day(s).
  4. Tap a customer in the list to highlight it.

  5. Tap Service > Vending Machines (X).
    • The number in parentheses indicates how many vending machines are located at the selected customer.
  6. Tap a machine to highlight it.

  7. Tap Enter New Ticket.
    • If you have permission for multiple types of ticket, select Enter Vend Ticket from the list.
  8. Tap Bag #.

  9. Enter the bag number.

  10. Tap Done.
  11. Tap Refund: $0.00.
  12. Enter the Customer Refund.

  13. Tap Save.
  14. Tap Proceed.
  15. Enter the Fills.
    • The product will be highlighted in red if the fill quantity is greater than the par quantity.

  16. Enter the +/- Par.
    • It is assumed the product is filled exactly to the par level unless a value is entered in this field.
    • Enter the quantity over par as a positive number and the quantity below par as a negative number.
    • Example: Par is 60, there are currently 40 in the machine, and 14 are added to the machine (fills).
      • This would be recorded as 14 Fills and -6 +/- Par (because there are 6 less than the par quantity in the machine).
  17. Repeat steps 15-16 for each product listed.
  18. The OT Available field indicates how many cases/loose of the selected product are on the truck and available to be sold.
  19. Tap Recap to display the results of the recorded fills.
    • The truck levels before the fills are listed first.
    • Then the quantity filled (sold) and how many over/under par is listed for each column.
    • Last, the truck levels after the fills are listed.
  20. The link in the bottom-right lists the columns the selected product is loaded in.
  21. Tap the starburst icon Setup or customize layout.JPG.
  22. Select Show Details to display additional fields in the grid.
    • Sold - The quantity sold from the machine since the last vend ticket. Automatically calculated based on the previous inventory and fills plus over/under par.
      • If the machine was filled above par on the last visit, this field will initially show the amount above par as units sold.
      • This is because the vend ticket screen assumes each product is currently at par until told otherwise.
    • Price - The price the distributor is selling the product for.
    • Prior - The quantity of the product in the machine after the last vend ticket entered.
    • Close - The quantity of the product in the machine based on the current fills and over/under par.
    • $ Sold - The total amount the distributor will charge the customer.
  23. Tap Save Ticket.
  24. Tap Service Recap to display the cases/loose quantities filled.

  25. Print Customer Invoice - Tap to print an invoice for the customer.

  26. Print Driver Recap - Tap to print a recap of the product filled.
  27. Tap the image icon Picture.JPG to display a picture of the selected vending machine.
  28. Tap Re-open Ticket to make changes.
  29. Tap the back arrow Back.JPG to return to the Run Route screen.

Recap Vend Tickets

  1. Tap the Recap icon > Recap Vend Tickets.

  2. All vend tickets entered since the last full sync will be listed.
  3. Tap a vend ticket to select it.

  4. Tap Re-Open selected Ticket to review and/or edit the ticket.

How To Adjust Products in the Machine

Change a Product's Price

While entering a new vend ticket, it is possible to change the product prices.

  • The user must have the Vending > Change vend prices on handheld permission enabled at Records > Employee > Records > Plugins Panel.
  • It is recommended that price changes be entered before recording fills.
    • The price change process requires a count of the product still in the machine and will cause inventory discrepancies if the count is performed after filling the machine.


  1. On the Fills screen, tap a product to select it.

  2. Tap the starburst icon Setup or customize layout.JPG and select Change Price.
  3. A message will pop-up stating the number of units still in the machine must be entered, tap Okay.

  4. Enter the quantity still in the machine.

  5. Tap Save.
  6. Enter the new price of the product.

  7. The current price(s) of other products in the machine are listed for reference.
    • Tap one to set it as the selected product's price.
  8. Tap Save.

Pickup/Return a Product

  1. On the Fills screen, tap a product to select it.

  2. Tap the starburst icon Setup or customize layout.JPG and select Return Item w/Reason.
  3. Enter the quantity being picked-up/removed.

  4. Select the Return Reason.
  5. Tap Save.

Change a Column ID

  1. On the Fills screen, tap a product to select it.

  2. Tap the starburst icon Setup or customize layout.JPG and select Fix Column ID.
  3. If the product is assigned to multiple columns, select the column to rename.

  4. Tap Use Selected.
  5. Select a Prefix (optional).

  6. Enter the new column ID.
  7. Tap Save.

Remove a Product from a Column

  1. On the Fills screen, tap a product to select it.

  2. Tap the Column ID link next to the starburst icon Setup or customize layout.JPG.
  3. Tap the Include box to clear it, removing the product from that column.

  4. Tap the back arrow Back.JPG to return to the Fills screen.
  5. Enter the quantity of product being removed from the column.

  6. Tap Save.
  7. The product's par level will be automatically adjusted to reflect the column(s) removed.

Remove a Product from the Machine

  1. On the Fills screen, tap a product to select it.

  2. Tap the starburst icon Setup or customize layout.JPG and select Pull Item.
  3. Enter the quantity of product being removed from the machine.

  4. Tap Save.

Add an Existing Product to an Existing Column

In order to add an existing product to an existing column, the column must be empty.


  1. On the Fills screen, tap a product to select it.

  2. Tap the Column ID link next to the starburst icon Setup or customize layout.JPG.
  3. Tap the Include box to fill it, adding the product to that column.

  4. Tap the back arrow Back.JPG to return to the Fills screen.
  5. The product's par level will be automatically adjusted to reflect the additional column.

Add a Product to the Machine

If all columns currently have product assigned, a new column ID (steps 4-6) and corresponding par level (steps 7-9) must be entered during this process.

  • If any column(s) are open, the new product will automatically be added to the first available column and will inherit the previous par level for that column.


  1. On the Fills screen, tap the starburst icon Setup or customize layout.JPG and select Add Item.

  2. Use the Find field to search for a product.

  3. Tap Select Item.
  4. Enter the column ID Prefix (optional).

  5. Enter the column ID.
  6. Tap Save.
  7. Enter the Par Level.

  8. The par level(s) of other columns in the machine are listed for reference.
    • Tap one to set it as the new column's par level.
  9. Tap Save.
  10. Enter the Vend Price.

    • Tap one to set it as the selected product's price.
  12. Tap Save.
  13. Enter Fills and +/- Par as normal.

Enter a Service Ticket

While reloading a vending machine, it is possible to enter a service request.

  • The user must have the May enter service tickets on eoMobile delivery permission enabled at Records > Employee > Records > Plugins Panel.


  1. On the main screen tap Run Route.

  2. Customers scheduled to be visited today will be listed by default.
  3. To view customers scheduled for a different day, click ## Stops for {Date}.

  4. Tap a customer in the list to highlight it.

  5. Tap Service > Vending Machines (X).

  6. Tap a machine to highlight it.

  8. Select Enter Service Ticket.
  9. Tap Select.

  10. Select a Complaint Code from the list.
  11. Enter a Complaint Note.
  12. Tap Save Ticket.

Recap Service Tickets

  1. Tap the Recap icon > Recap Service Tickets.

  2. All service tickets entered since the last full sync will be listed.

  3. Scroll right to view the machine number and complaint code.
  4. Tap a service ticket to select it.
  5. Tap Re-Open Service Ticket to review and/or edit the ticket.

Close a Vending Machine

  1. On the Fills screen, tap the starburst icon Setup or customize layout.JPG and select Close Out.

  2. A red bar will appear at the top on the screen indicating This is a closeout ticket!

  3. For each product, follow the instructions to Remove a Product from the Machine.
  4. When complete, tap Save Ticket.
