EoTouch Presell

eoTouch Presell is eoStar's presell application built to run on iOS devices. eoTouch Presell allows users to create orders, enter payments and sample requests, and perform POS related-tasks (enter requests, placements, and pickups).

eoTouch provides a user-friendly interface with streamlined operation, advanced reporting capabilities, and many more exciting functions.

Installing eoTouch

eoTouch is distributed via email.

  1. Open the email on the iOS device and tap on the link to install.

  2. Once eoTouch is installed, the icon will appear on the home screen of the iOS device.

  3. When installing eoTouch on a device operating on iOS 11, the iTunes and App Store apps MUST be enabled or else the installation will be unsuccessful.
  • This is a security setting related to iOS 11 that was not experienced on previous versions of iOS
  1. Since eoTouch is not installed via the App Store, you will need to Trust the developer after installation.
  2. Go to Settings > General > Profiles & Device Management > Rutherford & Associates, Inc.

    • Note: After completing this task, the text will say "Delete App."

Setting Up eoTouch

  1. Go to Settings and scroll down to the eoTouch application.

  2. Enter the following information.
  3. Camera - Turn on to allow eoTouch to access the camera.
  4. Web server - Enter the mobile web site or IP address to connect to.
  5. Database - Enter the connection string name.
  6. Handheld # - Enter the handheld RecKey/Number.
  7. Password - Pulls from Records > Employee > Records > More panel: Access password.
  8. Secure Sync - Toggle on to require additional server setup for added security.
  9. App Mode - Toggle between Delivery, Pre-sell, etc.
  10. Enable printer integration - Toggle on to enable connecting to Bluetooth printer.
  11. Printer offset (dots) - Shifts the print area on Bluetooth printers.
    • Note: A positive number shifts the print area to the right; a negative to the left.
  12. Left handed mode - Turn on to enable left handed mode (for left handed users).
  13. Theme - Do not change the theme from Default (white).
  14. Enable beta features - Turns on beta features in eoTouch.

Available App Modes

eoTouch has several app modes, and each app mode contains its own unique tools and features. These app modes align with employee Sales, Delivery, and Management roles.

First-Time Opening eoTouch

The first time you open eoTouch, you will be prompted with two access notifications:

  • Allow “eoTouch” to access your location even when you are not using the app? Tap Allow.

Certain functions of eoTouch will not operate properly if you do not allow these settings. You should allow both of them.

BETA Mode is Enabled

When running eoTouch Presell with BETA mode enabled, you will observe the following changes:

  • The BETA Mode is Enabled banner will appear, informing the user that BETA mode is enabled.

  • Erase all your entries becomes an option under the Sync menu.

  • This is used to discard all data from the handheld; it is the equivalent to changing connection settings and saving in eoTablet.

Route

Route contains the list of customers. This is where you presell orders and perform many plugin related tasks.

  1. Tap Route.

  2. You will be provided with a list of the customers scheduled to be serviced on the current day; this is the default view. Customers are displayed in order of the sequence shown on the Schedule panel of the Employee record.

  3. Tap on the calendar icon for more display options:

    • Show all customers assigned to the employee/route.
    • Show the current day’s customers.
    • Show last week’s customers.
    • Select another day’s customer list.
    • Set the global delivery date, which overwrites delivery schedules and uses the assigned date for delivery on all orders created during this session.
    • Example: If you set the global delivery date to 1/1/2021, then all presell orders you place will be stamped with a ship date of 1/1/2021.
    • This does not impact pending orders that were previously created.

New Order

  1. Select the customer from the Route screen.

There are multiple ways to add products to an order:

  1. Walkaround
  2. Custom List
  3. Office List
  4. Pickups and Credits
  5. Beer Finder
  6. Wine Finder
  7. Active Promos

Any combination of the available avenues can be used to add product(s) to the order. See the following sections for instructions on using each feature.

Walkaround

The walkaround feature allows for a customized list of products to be set up for various areas in a store. The products can be sequenced to match the layout of the store, allowing the salesperson to "walk around" the store and easily record both the quantity on-hand and the quantity to order.

  • Walkarounds also offer the ability to set a par value for each product.
    • Entering a count (quantity on-hand) for a product with a par value will automatically calculate the amount to order by subtracting the count from the par value.
    • Ex: Product ABC has a par of 10. When the salesperson enters a count of 6, eoTouch automatically adds 4 to the order.

Custom List

Custom lists can be created for each customer. A list is simply a collection of products, it is not associated with a location.

  • The sequence of items may be set to alphabetical or manually customized.
  • The count and par functions are not available with a list.
  • Adding product to an order from a custom list follows the same process as an office list.

Office List

The office list feature functions similarly to a walkaround. However, the list of products is populated based on the customer’s sales history, product targeting rules, allocations, walkarounds, lists, and standing orders.

  • The sequence of items cannot be customized, it is always alphabetical.
  • The office list also offers the ability to set a par value for each product.
    • Entering a count (quantity on-hand) for a product with a par value will automatically calculate the amount to order by subtracting the count from the par value.
    • Ex: Product ABC has a par of 10. When the salesperson enters a count of 6, eoTouch automatically adds 4 to the order.

Pickups and Credits

The pickups and credits feature is used to record returns.

  • Products flagged as Issue may be added as a return.
  • Billing codes can also be "returned" to provide the customer a credit.

Beer Finder

The Beer Finder screen is used to find and order beer based upon specific characteristics. The characteristics are:

  1. Availability (time of year)
  2. Brewery
  3. Continent
  4. Country
  5. Craft Category
  6. Glassware
  7. Region Category
  8. Style
  9. Type
  10. Price

Only characteristics with a value assigned to at least one brand at Records > Product > Brands> Marketing Panel will be displayed in EoTouch.

  • Availability and Country are the exceptions, they will always be displayed.
  1. Tap Beer Finder.

Wine Finder

The Wine Finder screen is used to find and order wine based upon specific characteristics. The characteristics are:

  1. Appellation (the geographic area where the grapes were grown)
  2. Character (the characteristics of the wine)
  3. Classification (this will largely be dictated by the distributor / bottler)
  4. Color
  5. Country
  6. Region
  7. Type (this will largely be dictated by the distributor / bottler)
  8. Varietal
  9. Price

Only characteristics with a value assigned to at least one product at Records > Product > Records > Wine Panel will be displayed in EoTouch.

  • Country is the exception, it will always be displayed.

Active Promos

The active promos screen shows all promotions the customer is currently eligible to receive.

Sales and Charges

The sales and charges screen displays all products ordered during the current "new order" session. Backing out of the new order screen and going back in will reset this screen.

  1. Tap Sales and Charges to view items ordered during the current session.

History

The history screen displays the customer's sales history.

  1. Tap History. A history of orders will show, based upon the eoStar settings.

  3. Tap < Back to go back to the New Order screen.

Invoice

The invoice screen displays a preview invoice and provided the option to print it.

  • This screen is only available after a product has been added to the order.
  • Multiple partitions may be created if the customer is setup to split certain products onto separate invoices.
  1. Tap Invoice.

Scan Sheet

The Scan Sheet screen allows you to view and print a scan sheet. It will only show items ordered during this session, so like the Sales and Charges screen, if you back back out of the New Order screen and go back in, those items ordered previously will not show on the scan sheet.

  1. Tap Scan Sheet.

More

The More screen allows the order attributes to be modified.

  1. Tap More.

Preseller Notes

Any preseller notes will pop up prior to starting an order for the customer.

Customer Notes

Creates a note in the customer's record, but will not create a pop-up note. Presellers, drivers, and backend users will be able to see customer notes.

Calculators

There are three calculators available on eoTouch to assist with the creation of orders: Display Calculator, Options Calculator, and Draft Calculator. All of these calculators can be used as selling tools to help sell to customers, as they can show how much profit the customers can make on products based upon different pricing options.

  1. Tap Calculators.

  3. Select the item from the list. You can only select one item at this time.

  4. Tap < Calculators when you are finished selecting an item.
    • Note: The calculators that are available will depend upon the product selected. When a case or bottle is selected, the Display and Options Calculators will be available. When a keg is selected, the Draft and Options Calculators will be available.

Display Calculator

This calculator is used to determine the profit made from a display and how many units are needed per display. This is used primarily for off premise customers. You must select a product that does not have a keg for its package to appear (so either case or neither keg nor case).

  1. Tap Display.

  2. Tap Items/Display and enter the number of Items to be included in the display. This is the number being sold to the retailer, not the number being sold to the consumer.

  3. Tap Consumer Price/Unit and enter the price that is going to be charged to the consumer for each unit.
    • For example, if there are 4 cases in the selling unit, the consumer price per unit would be based on what is being charged per case, not on what is being charged for the four cases total. If there are 12 bottles of wine in the selling unit, the consumer price per unit would be based on what is being charged per bottle of wine, not on what is being charged for the case of wine.
  4. The Selling Units/Item lists the number of selling units in the item.
    • For example, an item with 4 selling units has four units in the item that the retailer is purchasing.
  5. The Retailer Cost/Item is the price the retailer is being charged for the item.
  6. The Units/Display is the number of units in the display.
  7. The Retailer Cost/Unit is the price the retailer is being charger per unit.
  8. The Units/Display will adjust based on the Items/Display.

  9. The chart at the bottom will show the changes you have made.
    • The Per Selling Unit profit displays the profit per selling unit based on the Consumer Price/Unit entered above.
    • The Per Selling Item profit displays the profit per selling item based on the Consumer Price/Unit entered above.
    • The Total Profit displays the total profit based on the Consumer Price/Unit entered above.
  10. If the customer likes the information you present, you can place an order directly from this screen. Tap Order.
  11. The Add to Order box will automatically fill in with the Amount of product that you have entered on this screen. Tap OK to order this amount of product.

Options Calculator

This calculator is used to determine the profit made based on percent margin, percent markup, or unit price. It allows users to compare three different margins, markups, or unit prices to determine how profit can best be achieved. This can be used for both on and off premise customers.

  1. Tap Options.

  2. Tap Margin % and enter the Margin percentage that you would like to see calculated.

    • Note: The Options calculator can only calculate Margin %, Unit Price, or Markup % one at a time. Select one of the options and enter the amount you would like to see calculated.
  3. Tap Unit Price and enter the price you would like to see calculated.
  4. Tap Markup % and enter the Markup percentage that you would like to see calculated.
  5. Tap # of Items and enter the number of items that you would like used in the calculations.
  6. Tap Box 2 and Repeat this process, but with a different Margin %, Unit Price, or Markup %. For the best results, use the same # of Items.
  7. Tap Box 3 and Repeat this process, but with a different Margin %, Unit Price, or Markup %. For the best results, use the same # of Items.
  8. The chart at the bottom will show the changes you have made.

    • The blue bar is the profit per unit.
    • The red bar is the profit per item.
    • The green bar is the total profit.
    • The first set of bars corresponds to Box 1, the second to Box 2, and the third to Box 3.
  9. If the customer likes the information you present, you can place an order directly from Box 1, 2, 3's screen. Tap Order.
  10. The Add to Order box will automatically fill in with the Amount of product that you have entered on Box 1, 2, or 3's screen. Tap OK to order this amount of product.

Draft Calculator

This calculator is used to estimate the profit made from draft beer. This is used primarily for on premise customers. You must select a product that has a keg as its package for this option to appear.

  1. Tap Draft.

  2. Tap Serving Size (oz) and enter the serving size in ounces.

  3. Tap Head Size (oz) and enter the head size in ounces.
  4. Tap Price/Serving and enter the price that the retailer will be selling the product for per serving.
  5. The Cost/Keg is the price the retailer is being charged for the item.
  6. Tap Box 2 and Repeat this process, but with a different Serving Size (oz), Head Size (oz), and/or Price/Serving.
  7. The chart at the bottom will show the changes you have made.

  8. If the customer likes the information you present, you can place an order directly from this screen. Tap Order.

Dunnage Counts

Dunnage Counts allows you to create an inventory of dunnage (such as pallets and shells) at the customer's location.

  1. Tap Dunnage Counts.

  5. After adding the item(s) to the screen, enter the count(s).

  6. Tapping on any other screen will save your counts on this screen.

Receivables

Receivables allows you to take a payment from the customer. It also shows the last payment date in the Payments and Credits area.

  1. Tap Receivables.

  2. Tap any of the three payment options to select the payment type: Other Payment, New Cash, or New Check.

  3. Enter a Note / Receipt Number / Check Number.

  4. Enter the payment amount.
  5. Enter a payment note (if desired).
  6. Tap OK.
  7. Continue this process until you are finished entering payments.
  8. Tap Print Payment Receipt to print a receipt.

Receivables for Customers with Past-Due Amounts

If a customer has a past-due amount, eoTouch provides you with some additional information.

  1. Directly below the Receivables button, you will see that eoTouch informs you that the customer is past-due.

  2. When you view the Receivables for the customer, you will see any orders that they are currently past-due on in the Charges section.

Business Review

Business Review allows you to view available reporting data (including charts and graphs) for the customer.

  1. Tap Business Review.

ION Reports

ION Reports allows you to view previously created ION reports.

  2. Tap the report you want to load.

  3. Once you select a report, you can choose to run the report as is (Default), or you can run it in the DX format (if it has been created ahead of time on the back end). Tap the format you would like to view.

  4. After selecting a format, the report will load. To print, tap the printer icon.

Non-Service Reason

Non-Service Reason allows you to enter the reason why you are not servicing the customer (this must be enabled by your distributor / bottler). Some distributors / bottlers require a non-service reason to be entered for all stops where orders are not being placed.

  1. Tap Non-Service Reason.

More Information

More Information shows additional information about the customer. You can update the Contact and Liquor License information on this screen. You only need to tap on the things that you want to change / view in this screen.

  1. Tap More Information.

  3. If a phone number is filled in and you have a cellular connection, tap Call {Customer Phone Number} to call the customer.

  5. Tap Note to enter / edit a note for the contact.
  6. Tap Title to enter / edit the title of the contact.
  7. Tap Decision Maker to flag / unflag the contact as a decision maker at the customer's location.
  8. Tap Places Orders to flag / unflag the contact as a person who places orders at the customer's location.
  9. Tap the first Phone field to enter / edit the phone number of the contact.
  10. Tap the second Phone field to enter / edit the phone number of the contact.
  11. Tap Email to enter / edit the email of the contact.
  12. Tap < More Information when you are finished on this screen.
  13. The Business Hours for the customer will display in this field if they have been entered on the back end.
  14. Tap Liquor License.

  16. Select the liquor license's expiration date.
    • Note: You must full sync for the liquor license information to update.
  17. Tap < More Information when you are finished on this screen.
  18. The Default Payment Terms for the customer will display in this field.

  19. Tap Directions to open directions to the customer's location in Maps.

Edit Lists and Locations

Edit Lists and Locations works identically to the Lists and Locations section explained above. Please see that section for an explanation for how to use this feature.

Refresh Sellable Inventory

Refresh Sellable Inventory downloads updated inventory information if your distributor / bottler has enabled the Sellable Inventory feature. This can be a good idea if you have gone a while between uploads and you want to ensure that you have the most up-to-the-minute inventory information for the warehouse before starting an order at the customer's location.

  1. Tap Refresh Sellable Inventory.

Sync

The Sync menu contains the available options for transmitting information to and from the database.

  • Upload - Sends all saved work and transactions from the handheld device to the eoStar backend.
    • Updated inventory information is also downloaded if Live Inventory is enabled.
  • Full Sync - Sends all saved work and transactions from the handheld to the backend and downloads a current snapshot of the database.
    • All uploaded data will no longer be available on the handheld.
  • Refresh Inventory - Downloads updated inventory information only
  • Refresh Goals - Downloads updated goal information only.
  • Erase all your entries - Deletes all saved work and transactions from the handheld.
    • Anything that has not been uploaded will be lost.
    • Only available if BETA mode is enabled.

Sync Issues

Each time a mobile device is synced, the data being uploaded is captured by the server before it is posted to the database. After the data is posted, the captured data is validated against what was posted to ensure no data was dropped. If the server identifies a discrepancy, it will return a message to the mobile device instructing the user to either re-submit the data (perform the sync again) or contact Rutherford Support.

  • It is recommended to attempt another sync at least once, as this usually takes care of the issue.
  • If the server continues to return the message, contact Rutherford Support and send in an archive for analysis.

Recap Orders

Recap Orders allows you to view a preview invoice for all orders placed during this session.

  1. Tap Recap Orders.

My Log

My Log is a log of where you have been during the day.

  1. Tap My Log.

Change User

The field with the user's name can be tapped on to change the user in eoTouch Presell.

  1. Tap {User Name}.

  2. The current user will be listed at the top of the list. Find the user you want to change to in the list and tap on that user.

Done for the Day

Done for the Day sends a one-way notification to the back end of eoStar, notifying the office that you will not be submitting any more transactions for the day. This information is highly important for order processing in the instance that the route has created any transfers or orders to be processed for future dates.

  1. Tap Done for the Day when you are finished with your route. You must sync before tapping Done for the Day.

ION Reports

ION Reports allows you to view previously created ION reports.

  1. Tap ION Reports.

  2. Tap the report you want to load.

  3. Once you select a report, you can choose to run the report as is (Default), or you can run it in the DX format (if it has been created ahead of time on the back end). Tap the format you would like to view.

  4. After selecting a format, the report will load. To print, tap the printer icon.

  6. Tap < {Customer Name} when you are finished on this screen.

Business Review

Business Review allows you to view available reporting data (including charts and graphs). You must have a login and password to access this Business Review.

  1. Tap Business Review.

  2. Enter your login. The login must match the user currently logged in on eoTouch.

  4. Tap OK.
  5. Tap on the topic you would like to view.

  6. Tap on the subset of that topic that you would like to see a business review about. The business review will load.

Archives provides you with the ability to send a compressed version of all transactions created in eoTouch Presell via email.

  1. To archive your data, tap on Archives.
