EoTouch Delivery

eoTouch Delivery is eoStar's delivery application built to run on iOS devices. eoTouch Delivery allows users to enter truck inspections, validate and adjust truck inventory, deliver pre-sold orders and create off-truck orders, and perform many plugin-specific features.

eoTouch provides a user-friendly interface with streamlined operation, advanced reporting capabilities, and many more exciting functions.

Installing eoTouch

eoTouch is distributed via email.

  1. Open the email on the iOS device and tap on the link to install.

  2. Once eoTouch is installed, the icon will appear on the home screen of the iOS device.

  3. When installing eoTouch on a device operating on iOS 11, the iTunes and App Store apps MUST be enabled or else the installation will be unsuccessful
  • This is a security setting related to iOS 11 that was not experienced on previous versions of iOS
  1. Since eoTouch is not installed via the App Store, you will need to Trust the developer after installation.
  2. Go to Settings > General > Profiles & Device Management > Rutherford & Associates, Inc.

    • Note: After completing this task, the text will say "Delete App."

Setting Up eoTouch

  1. Go to Settings and scroll down to the eoTouch application.

  2. Enter the following information.
  3. Camera - Turn on to allow eoTouch to access the camera.
  4. Web server - Enter the mobile web site or IP address to connect to.
  5. Database - Enter the connection string name.
  6. Handheld # - Enter the handheld RecKey/Number.
  7. Password - Pulls from Records > Employee > Records > More panel: Access password.
  8. Secure Sync - Toggle on to require additional server setup for added security.
  9. App Mode - Toggle between Delivery, Pre-sell, etc.
  10. Enable printer integration - Toggle on to enable connecting to Bluetooth printer.
  11. Printer offset (dots) - Shifts the print area on Bluetooth printers.
    • Note: A positive number shifts the print area to the right; a negative to the left.
  12. Left handed mode - Turn on to enable left handed mode (for left handed users).
  13. Theme - Do not change the theme from Default (white).
  14. Enable beta features - Turns on beta features in eoTouch.

Available App Modes

eoTouch has several app modes, and each app mode contains its own unique tools and features. These app modes align with employee Sales, Delivery, and Management roles.

First-Time Opening eoTouch

The first time you open eoTouch, you will be prompted with two access notifications:

  • Allow “eoTouch” to access your location even when you are not using the app? Tap Allow.

Certain functions of eoTouch will not operate properly if you do not allow these settings. You should allow both of them.

Check-Out

At the beginning of the day, you will go through the Check-Out process; this process includes inspecting the truck and validating the inventory levels on the truck.

Truck Inspection

A truck inspection is the equivalent of the beginning of day driver inspection.

  1. To enter a truck inspection, tap Add truck inspection.

  2. Enter the Truck Number.

  3. Enter the Trailer Number.
  4. Enter the Odometer Mileage.
  5. Tap Inspection Items. They provide a list of physical traits to check on the truck. The list of physical traits that you see will vary, depending upon the settings that have been set up by your distributor / bottler.
  6. Indicate a defect on an item by tapping the switch to turn it red.
  7. Tap Truck Condition.

  8. Select the truck condition by tapping on it: Satisfactory, Defects corrected, Defects found/no fix needed, or Failed.
  9. Enter the Temperature of the truck (if necessary).
  10. Tap Note (if necessary).

  11. Enter the text of the note.
  12. Tap Done when finished entering the note.
  13. Once all required fields are filled out, tap Sign.
  14. Sign in the Sign here box.

  15. Tap Accept.
  16. Tap Done. You will be asked if you want to close the truck inspection. Tap Save.

  17. Once the inspection is complete, you can tap Truck Inspection to pull up a printable version of the inspection.
    • This will bring up a preview of the inspection along with printing and exporting options.
    • The printer icon will print to a linked Bluetooth printer.
    • The export button will provide other communication methods available on the iOS device.

Verify Inventory at Check-Out

Verifying inventory at check out allows you to review and validate inventory levels on the truck. It provides a listing of all items that are currently on the truck with a field to enter a count.

  1. Tap Verify inventory at check-out.

  2. Enter the physical count of each item to validate the inventory levels on the truck.

  3. If all items are not showing, tap + to search for the items to add to the list.
  4. Tap the items to select them.

  5. Once you've selected all items, tap < Check Out.
  6. Enter a count for the items you've added.

  7. Once you're finished complete, tap Accept.
  8. If the count entered varies from what eoTouch expected, the boxes that vary will be highlighted in yellow. Tap OK on the notification message.

  9. A supervisor will then need to sign in by tapping the Supervisor button to validate the inventory change.

  10. Once the supervisor is logged in, they will need to verify the inventory counts that do not match what eoTouch expected.

  11. When finished, the supervisor should tap Accept.
  12. If there are still discrepancies, eoTouch will ask if you want to accept as-is. If your policy is that two people verifying the count is sufficient, tap Yes.

  13. Upon completing the inventory verification, the Inventory Counts for Truck screen will load. To print, tap the printer icon.

    • If changes were submitted, they will be shown in the Change column.
    • Any changes entered at this stage will result in an item transfer being created to set the levels to the correct count.
  14. Tap Done when you are finished.

Mechanic Inspection

This is an optional beginning of day mechanic inspection.

  1. If you elect to conduct a mechanic inspection, tap Add Mechanic Inspection.

  3. Once the mechanic signs in, all other steps are identical to the standard Truck inspection (also known as the Driver inspection).

Adjust Inventory

The adjust inventory menu allows you to adjust the inventory levels on the truck, and print the Truck Levels report as well as the Pallet List by Bay report.

Cut

The cut screen allows you to cut inventory from the truck. Entering a cut will remove inventory from the truck, and add it to the warehouse inventory.

  1. Tap Cut.

  2. Tap + to select the items you wish to cut.
  3. Tap on the items to select them.

  5. After adding the item(s) to the Cut screen, assign a Qty.

Add

The Add screen allows you to add inventory to the truck. Entering an Add will increase inventory levels on the truck, and deplete warehouse inventory levels.

  1. Tap Add.

  2. Tap + to select the item(s) you wish to add.
  3. Tap on the item(s) to select them.

Write-Off

The write-off screen allows you to write-off inventory that is on the truck. Entering a write-off will remove item quantities from inventory.

  1. Tap Write-off.

Truck Levels

The Truck Levels report shows what items are currently on the truck, along with the associated quantities.

  1. Tap Truck Levels.

  12. Tap Combine Reports. The Combined Reports will show in your list of available Truck Level Reports.

  14. Reorder the reports by dragging and dropping them while holding the three lines.
  15. Tap Save when you are finished making changes.

Print Pallet List by Bay

The Pallet List by Bay report displays truck inventory grouped by what pallet the items are on, and which bay of the truck each pallet is in. This report also contains information pertaining to the customer receiving the order.

  • To print via Bluetooth printer, tap on the printer icon.
  • To view other exporting options, tap on the icon with the box and upward arrow.

Pre-order

The Pre-Order screen allows the driver to enter a truck Pre-order request. A Pre-order request is a request for items to be transferred to the truck for the purpose of off-truck sales. Upon submitting a Pre-order request, an item transfer will be generated in Transfer Tracker. The products that show by default in the Pre-order interface are configured on the HH preorder panel of the Employee Record.

  1. Tap Pre-order.

  2. Enter Qty's for the desired items.
  3. To add additional items, tap on the ellipses in the upper right corner.
  4. Tap + Add Item(s) to select the items you wish to add.

  6. Tap < Back.
  7. After adding the item(s) to the Preorder screen, assign a Qty.

  8. If necessary, tap the ellipses. You can set a different transfer date or source warehouse from this screen, and you can also print a copy of the transfer from this screen.
  9. Tap Expected Transfer Date if you wish to change the transfer date.

  12. Tap Warehouse if you wish to change the source warehouse.

  15. Tap Print or Preview to view the transfer. To print, tap the printer icon.
  16. When you are finished with the Pre-Order screen, simply tap on another screen in eoTouch. There is no need to save, as your changes will automatically be saved by eoTouch.

Run Route

Run Route contains the list of customers. This is where you deliver orders, take payments, and add returns.

  1. Tap Run Route.

  2. You will be provided with a listing of the customers scheduled to be serviced on the current day; this is the default view. Customers are displayed in order of the sequence shown on the Schedule panel of the Employee record.

    • If there is no presold delivery pending for the customer, eoTouch will display the scheduled task under the name of the customer.
    • If a presold delivery is pending, eoTouch will list how many deliveries and cases are pending under the name of the customer.
  3. Tap on the calendar icon for more display options:

    • Show all customers assigned to the employee/route.
    • Show the current day’s customer list.
    • Select a customer list for a day from the previous week.
    • Select another day’s customer list.
    • Set the global delivery date.
    • If the user also has Pre-sell abilities, this tool allows you to set a given date to be stamped on all presold orders placed during this session.
    • Ex: If you set the global delivery date to 1/1/2021, then all presell orders you place will be stamped with a ship date of 1/1/2021.
    • This does not impact off truck orders or pending deliveries that were previously created.
  4. Tap on the printer icon to bring up a menu of Delivery Reports available to print.

Deliver Pre-Sold Product

Select the customer from the Route screen.

Delivery adjustments can be made as needed, and all of the actions on this screen should be performed when necessary.

  1. Tap Start Delivery Now to expose the delivery options.

    • Note: Multiple orders may appear for an individual customer.
    • Note: Orders will be partitioned as necessary based upon the customer's terms.

  3. Enter a PO number.

  4. Enter the name of the person receiving the order.
  5. Tap Delivery note to add a delivery note.
  6. Enter the text of the delivery note.

    • Note: Once you void the order, it cannot be unvoided.
  9. Enter the Void Delivery Override Code.

  33. Repeat this process for all additional returns.

    • Note: You cannot update the quantity until a Delivery Adjustment Reason has been selected.

    • Note: Whether or not you can make changes to the additional options will be determined by the permissions set in eoStar. For example, in the image above, the driver does not have permission to edit the deposit on the order, so it is grayed out.
  42. If desired, adjust the Discount.
  43. If desired, adjust the Deposit.
  44. Tap < Check-in when you are finished.

DEX

View the DEX Process on eoTouchDelivery

Payments

  1. To enter a payment, tap Payment.

  2. The Default Payment Terms for the customer will show at the top of the screen.

    • Note: If the customer's Payment Terms require payment upon delivery, the order(s) will be included automatically.
    • Note: Any past-due balances will also be auto-included.
  3. The Account Balance is shown on the left.
  4. The Payment Expected is shown on the right.
  5. Note: The Account Balance and Payment Expected may not match, as the customer's Default Payment Terms will determine what the customer has to pay.
  6. You can see Payment and Credits in this screen section.
  7. Tap on any of the charges to add them to the payment amount at the top. A check mark will appear next to the charge when it is selected.
    • Note: The Balance Due at the top will change based on which transactions are selected.
  8. Tap any of the three payment options to select the payment type: Other Payment, New Cash, or New Check.

  9. Enter a Note / Receipt Number / Check Number.

  10. Enter the payment amount.
  11. Enter a payment note (if desired).
  12. Tap OK.
  13. Repeat this process for any additional payments that need to be entered.
  14. The payment amounts will appear as zero in the Payment and Credits area.

  15. The charges will be zeroed out for the orders that were selected.
  16. To see the amount applied, tap on the Receipt tab.
  17. To go back to the Payment entry screen, tap on the Balance tab.

  18. Tap Print Payment Receipt to print a receipt.

  21. When you are finished adding all payments, tap Sign and Accept.

    • Note: Once the stop is finalized, the green clipboard will appear next to the customer on the Route screen.

Complete an Off-Truck Sale

Customers scheduled for off-truck service will have the words “Off-Truck” appear below their name.

  1. To service, tap on the customer.

  2. Tap New Off-Truck, which will allow you to enter a new order via Office list, create returns via Pickups and Credits, or view the sales history via History. If you enter an order, the Sales and Charges option will also show up.

Office List

The Office list allows you to enter counts and order quantities. The list is populated based on the customer’s sales history.

  1. Tap Office List.

  2. Enter the amount of items being ordered by tapping the Order box and entering the quantity.

  3. To add additional items, tap on the + in the upper right corner.
  4. Tap on the items you wish to add.

  6. After adding the item(s) to the screen, enter the amount ordered.

  7. Tap the stacked papers icon to bring up the sales history for each item for the customer.

  8. Tap the lightning bolt icon to expose the quick entry keyboard, where you can key in a product number rather than looking for it in the list. You can also filter by brand as well using this feature.

  9. Tap the number pad icon to expose the numeric keyboard for ordering purposes (it will automatically open when you tap the order box).

  10. Tap the i icon to enable the following options (if desired):

    • Note: Not all of these options may be available to you. They will depend upon the permissions that are granted by your distributor / bottler.
    a. Assign an Order Quantity.

    b. Assign a Special Price. Enter the new price in this box.
    c. Assign a Special Discount. Enter the discount in this box.
    d. Assign a Special Deposit. Enter the new deposit in this box.
    e. Assign an item name override. This will change the name of the product that appears on the invoice.
    f. Select an available promotion. To assign the promotion, tap on the promotion you want to assign (more than one promotion may appear in this section).
    g. Enter the order quantities on the item(s). The promotion will tell you how many items the customer must order to qualify for the promotion.

Pickups and Credits

Pickups and Credits allows you to create returns. The list is populated with empty items and dunnage (such as kegs, pallets, and shells).

  • Odwalla Only: Only unit alt-packs will be available for pickups and credits.
  1. Tap Pickups and Credits.

  3. To add additional items, tap on the + in the upper right corner. This will allow you to enter returns.
  4. Tap on the item which you want to add.

  6. Tap Quantity.
  7. Enter the quantity using the number pad. The quantity will populate in the Quantity box.
  8. Tap Date Code.

  9. Enter the date code using the number pad. Tap Can't Read if the date code is unreadable.
  10. Tap Add when you are finished entering the information for the product.
  11. Repeat this process for all additional returns.

History

The History screen allows you to view the customer's sales history. You can also add items from this screen to an Off-Truck order.

  1. Tap History. A history of orders will show, based upon the eoStar settings.

  3. Tap Add to Order to add a product from the order to the Off-Truck order. The added product will appear in the quantity from the historical order in the current Off-Truck order.

  5. Tap < Back to go back to the Off-Truck screen.

Sales and Charges

  1. Tap Sales and Charges to view any items that have been ordered during this session. Only items that have been ordered while you were in the Off-Truck screen will show, so if you back out of the Off-Truck screen and go back in, those items will not show in the Sales and Charges screen.

Payments

If a payment is required, you can enter it now.

  1. To enter a payment, tap Payments in the upper section (the off truck order(s) will now show in this area).

    • Note: Any past-due balances will also be auto-included.
    • Note: You can see available credits in this screen; overdue charges will have red lettering underneath.
  2. To include additional credits and/or balances on the payment, tap on the credit and/or balance to make the check-mark appear.

    • Note: The Balance Due at the top will change based on which transactions are selected.
    • Note: Whether or not you can do this will depend upon the permissions granted by your distributor / bottler.
  3. Tap on any of the charges to populate a payment amount at the top (this is only necessary if you are adding additional charges to the order or removing charges from the order).
  4. Tap any of the three payment options to select the payment type: Other Payment, New Cash, or New Check.

  5. Enter a Note / Receipt Number / Check Number.

  6. Enter the payment amount.
  7. Enter a payment note (if desired).
  8. Tap OK.
    • Note: The amounts will appear as zero. To see the amount being applied, tap on the Receipt tab. To go back to the Payment entry screen, tap on the Balance tab.
  9. Continue this process until you are finished entering required payments.
  10. Tap Sign and Accept.

More

The options under the More section allow drivers to enter Customer Notes, fill in Non-Service Reasons, view ION Reports, and view additional information for the Customer.

Customer Notes

Customer Notes creates a note in the customer's record, but will not create a pop-up note. Presellers, drivers, and backend users will be able to see customer notes.

  1. Tap Customer Notes.

Non-Service Reason

Non-Service Reason allows the driver to enter a reason why the customer is not being serviced (this must be enabled by the distributor / bottler). Some distributors / bottlers require a non-service reason to be entered for all stops where orders are not being placed.

ION Reports

ION Reports allows drivers to view previously created ION reports.

More Information

More Information shows additional information about the customer. You can update the Contact and Liquor License information on this screen. You only need to tap on the things that you want to change / view in this screen.

  5. Tap Name to enter / edit the name of the contact.
  6. Tap Note to enter / edit a note for the contact.

  8. Tap Decision Maker to flag / unflag the contact as a decision maker at the customer's location.
  9. Tap Places Orders to flag / unflag the contact as a person who places orders at the customer's location.
  10. Tap the first Phone field to enter / edit the phone number of the contact.
  11. Tap the second Phone field to enter / edit the phone number of the contact.
  12. Tap Email to enter / edit the email of the contact.
  13. Tap < More Information when you are finished on this screen.
  14. The Business Hours for the customer will display in this field if they have been entered on the back end.

  15. Tap Liquor License.
  16. Enter the liquor license number (if necessary).

  17. Select the liquor license's expiration date.
    • Note: You must full sync for the liquor license information to update.

Check-in occurs once you return to the warehouse after you have completed your route for the day.

Add Truck Inspection

Perform the End of Day truck inspection on this screen.

  1. Tap Add Truck Inspection (if required).

  2. Enter the Truck Number.

  3. Enter the Trailer Number.
  4. Enter the Odometer mileage.
  5. Tap Inspection Items. They provide a list of physical traits to check on the truck. The list of physical traits that you see will vary, depending upon the settings that have been set up by your distributor / bottler.
  6. Indicate a defect on an item by tapping the switch to turn it red.
  7. Tap Truck Condition.

  8. Select the truck condition by tapping on it: Satisfactory, Defects corrected, Defects found/no fix needed, or Failed.
  9. Enter the Temperature of the truck (if necessary).
  10. Tap Note (if necessary).

  11. Enter the text of the note.
  12. Tap Done when finished entering the note.
  13. Once all required fields are filled out, tap Sign.
  14. Sign in the Sign here box.

  17. Once the inspection is complete, you can tap Truck Inspection to pull up a printable version of the inspection.
    • This will bring up a preview of the inspection along with printing and exporting options.
    • The printer icon will print to a linked Bluetooth printer.
    • The export button will provide other communication methods available on the iOS device.

Inventory at Check-In

Perform the End of Day inventory at check-in on this screen.

  1. Tap Inventory at Check-In.

    • Blind: The items on the truck will be listed, but the no quantities will be listed for each item.
    • Non-Blind: The items on the truck will be listed, and eoTouch will fill in the expected quantities for each item on the truck.
  4. If you are performing a Blind count / strip, enter the count for each item. If you are performing a Non-Blind count / strip, verify the quantities for each item.

  5. To add additional items, tap on the + in the upper right corner. This will allow you to enter returns.
  6. Tap the items you wish to add.

  13. Reorder the reports by dragging and dropping them while holding the three lines.

ION Reports

  1. Tap ION reports to select from previously created ION reports.

    • Any changes entered at this stage will result in an item transfer being created to set the levels to the correct count.

Done for the Day

Done for the Day sends a one-way notification to the back end of eoStar, notifying the office that you will not be submitting any more transactions for the day. This information is highly important for order processing in the instance that the route has created any transfers or orders to be processed for future dates.

  1. Tap Done for the Day when you are finished with your route. You must sync before tapping Done for the Day.

Sync

The Sync options will vary slightly depending on whether BETA mode is enabled.

  • Upload - Sends data from the handheld device to the back end of eoStar (you also download updated inventory information if Live Inventory is enabled).
  • Full Sync - Sends all data from the handheld to the back end and downloads a fresh set of data. Prior transactions created will no longer be available to review on the handheld.
  • Refresh Inventory - Downloads updated inventory information only (only available if Live Inventory is enabled in eoStar).
  • Erase all your entries - Removes all work and transactions from the handheld, losing all work forever if it has not been uploaded (only available with BETA mode enabled).

Change User

  1. Tap Change User to change the logged in user.

  2. The current user will be listed at the top of the list. Find the user you want to change to in the list and then tap on that user.

Archives

Archives provides you with the ability to send a compressed version of all transactions created on the handheld via email.

When running eoTouch Delivery with BETA mode enabled, you will observe the following changes:
